Data from Travelers

We strive to limit our processing of personal data as much as possible, so all the information we ask for during the booking process is necessary to provide our services.

If you are not willing to provide the information we request, you cannot book accommodation, reserve a restaurant, or buy tickets via www.overnachteninstijl.nl.

If you book a room or dinner at one of the accommodations or restaurants we list, we will process certain information about you. This information will be used for various purposes, all related to the processing of your booking.

We will process the following types of personal data, for the stated purposes:

  • Your name
  • Email address and password
  • Phone number
  • Accommodation/restaurant and booking details
  • Information on whether your payment was successful
  • Booking history
  • Comments and requests for your accommodation or restaurant
  • Group size and age of children
  • Names of your fellow travelers
  • Reviews
  • Interaction with us, such as through our customer service
  • Any other personal information you have provided to us

Processing of your booking

We share this information with the accommodation and/or restaurant where you have booked.

This is done via an email to the accommodation and via a database connection so that your information also goes directly into the management system of the accommodation and/or restaurant.

Payments

When you make a payment, this is handled by our payment service provider Stripe.

Stripe is a separate company that handles all connections with the relevant financial institutions (such as banks).

To manage the payment, Stripe needs information about the price, the name of the accommodation, the reservation ID, and your email address, which we share with them.

Stripe may also need to share this data with these financial institutions to process your payment.

Sending transactional messages

After you have completed your booking, we need to send you a few emails so that you have all the important information and to ensure that you will have the best possible experience.

These emails include your booking confirmation with all the details you will need from that moment on.

The same goes for any cancellations: we also confirm that by email.

We may track which messages you open, when, which links you click, and which actions you take on our website, depending on your cookie settings.

This helps us personalize and improve these messages as much as possible.

In addition to the purposes mentioned above, we also use data related to your bookings

The legal basis for these types of processing is that they are necessary for the purposes of our legitimate interests, including marketing and our agreements with accommodations.

We share this information with the accommodation where you have booked. This happens via an email to the accommodation and via a database connection. So that your information also ends up directly in the management system of the accommodation or the restaurant.

Sending Marketing Messages

We may also use your email address and phone number to send you special offers, tips for nice accommodations, and other interesting information, unless you let us know that you do not want to receive our marketing messages, of course.

We use email service providers. We store your email address, phone number, name, and booking history here. We can track which messages you open, when, which links you click, and which actions you take on our website, depending on your cookie settings. This helps us personalize and improve these messages as much as possible. You can always choose which of these messages you want to receive, or you fully opt-out via the link at the bottom of each message.

We may send personal information such as your email address, phone number, and booking data to advertising platforms we use, such as Meta, Google, LinkedIn, and Pinterest. This enables us to track which (variant of an) advertisement has led to a booking. This helps improve the message, targeting, placement, and personalization of future advertisements, thereby increasing their effectiveness. It also gives us the ability to exclude you from certain ad campaigns, since you have already booked, and to improve ad targeting for people with a similar profile.

Complying with Tax Laws

We may also use this data if we are legally obligated to do so, for example, to comply with tax laws. This means that we may need to share certain information with tax authorities and other government agencies.

The data can also be used in the event of a dispute. In this unlikely event, some information may need to be shared with courts and other arbitrators.

Subscriber Data

We regularly send a newsletter to anyone interested in our platform, as well as emails and SMS messages to keep you informed about new features, special offers, tips for nice accommodations, and other interesting matters.

We offer various ways to subscribe to these messages. One of them is to subscribe via this page. You can always choose to unsubscribe via the link at the bottom of each message.

When you subscribe, we store the email address and/or phone number you provided. This processing is necessary for the performance of a contract to which you are a party.

We also keep track of which messages you open, when, which links you click, and which actions you take on our website, depending on your cookie settings. This helps us personalize and improve these messages as much as possible.

Data about Your Interaction with Us

When you contact us for support, general questions, or just a conversation, you share personal data with us that we will process. And for security purposes, we also monitor some data related to you. Here's why we do that, and what happens to that data.

We are always ready to help. We offer various ways to contact us, including email, online forms, chat, and phone.

The personal data we process depends on the medium you choose. In all cases, we process your name, relevant contact and booking information, and any other information you provide to us.

When you contact our customer service, your data ends up in our CRM system, a customer service tool that facilitates communication between you and our support team. If we need to contact one of our partners or suppliers to answer your question or resolve your issue, we may also share data with them.

If we respond to your question in writing, for example, via email or SMS messages, we may track when you open our messages and which links you click. If we have a phone conversation, we may save your phone number and other information about the call, such as the time and duration of the call.

The legal basis for this type of processing is always our legitimate interest, namely, to help you in the best possible way. We believe this aligns with your interests!

Preventing Abuse

We also log your IP address and information about your browser, device, and operating system. We store this information for a limited time (less than two weeks) in our server logs, as this helps us prevent DDoS attacks and other abuse of our website. We consider this a legitimate interest of ours.

Data about Contacts of Our Partners

If you are a contact person representing a partner, you may share personal data with us that we process. We consider many types of organizations as our partners: accommodations, destination marketing organizations, event organizers, affiliates, or indeed any other organization with which we (intend to) collaborate. Here's why we do that, and what happens to that data. All processing in this context is necessary for the purposes of our legitimate interests.

Facilitating Our Affiliate Program

To participate in our affiliate program, we need at least the name and email address of one contact person. We store this information in our affiliate program software. We also use this information to send you news and updates about our affiliate program.

Prospects

We may contact you about a (potential) collaboration with your organization. For that purpose, we may store the messages you and we send in our CRM tool. We may also store your name, email address, and other contact details. We may also track which messages you open, when, which links you click. If we have a phone conversation, we may save your phone number and other information about the call, such as the time and duration of the call.

When you click on a link in one of our emails leading to our website, we may place cookies that track your behavior on our website after you perform one of these actions. This way, we enrich your profile with information about the pages you visited on our site.

How Long We Retain Your Data

We retain your personal data for as long as necessary for the purposes mentioned above. If you make a booking, we will retain information necessary for future bookings and to determine if you are a returning traveler. Certain financial information may need to be retained for longer periods to comply with legal requirements.

Sharing Your Data with Other Parties

Your personal data is only shared with other parties when necessary for the purposes mentioned above, and in any other case only with your consent. The parties with whom we may transfer your personal data are listed below for each purpose.

Parties with whom we share your personal data may be located in countries where the GDPR does not apply, which means that less protective data protection laws may apply. We will ensure that if this is the case, the parties with whom we share your data agree to contractual terms or other measures to protect your personal data. You are, of course, free to contact us in case of questions about the sharing of our data and the safeguards provided.

Keeping Your Data Secure

We have taken appropriate measures to protect your personal data from unauthorized processing. In addition to the usual technical security measures, we require all our staff who have access to personal data to agree to confidentiality agreements.

What You Can Do

You always have the right to request access to the personal data we hold about you, and to request rectification, erasure, or restriction of processing. You can also object to any of our processing, and you have the right to data portability. If you are not satisfied with our processing of your personal data, you have the right to lodge a complaint with the Dutch Data Protection Authority, or your local data protection supervisory authority.

How We Make Changes to This Policy

We may change this policy from time to time, and when we do, we will post all changes on this page. If the changes are significant, we may provide a more prominent notice or, if necessary, request your consent.
